Privacy Policy

1. Information We Collect
For Restaurants
We collect business name, contact email, phone number, and payment information necessary to provide our service.
For Customers
When customers use QuietCall to track their orders, we collect:
- Order number (as entered by the customer)
- Optional customer name/alias
- Optional table number, where the restaurant offers table service
- Any special instructions or notes you type for the restaurant — both on the order as a whole and on individual menu items. These are free-text fields and are stored exactly as you type them, so please do not put anything in them that you would not want the restaurant to keep.
- Push notification subscription details, if you choose to enable notifications: the address your browser gives us to deliver a notification to that device, and the keys needed to encrypt it.
- Your device's IP address, recorded automatically against actions taken on the service (for example joining a queue or registering an order). We use it to detect abuse, to apply rate limits, and to investigate security incidents.
We do not require customer account creation or store personal identification beyond what is needed for order tracking. We do not ask customers for a telephone number, and none is collected.
2. How We Use Information
We use collected information to:
- Provide order notification services
- Process payments and manage subscriptions
- Send service-related communications
- Improve our service
3. Data Retention
Order data is automatically archived once an order has been collected (by default after 60 minutes). Archiving moves the order out of active use; it does not by itself delete anything.
- Customer details on finished orders and queue entries — the customer name/alias, table number, the special instructions given for the order as a whole, and the push notification details are permanently blanked 90 days after the order or queue entry reaches a finished state (collected, cancelled, completed, no-show or left without ordering). Orders and queue entries that are still open are never altered, however old they are.
- The rest of the order record — the order number, the items ordered, any note you attached to an individual menu item, the amounts and the timestamps are kept indefinitely, because they are the restaurant's own sales and accounting record. They are kept after the customer details above have been blanked from the same row.
- Push notification subscriptions — deleted 24 hours after the order they belong to is completed, cancelled or archived, and in any event 7 days after they were created.
- Activity and security logs (including the IP addresses described in section 1) — deleted after 365 days.
- Restaurant account data — retained while the account is active.
4. Data Sharing
We do not sell personal information. We share data only with:
- Payment processors (PayFast) to process transactions
- Push notification services to deliver alerts
5. Security
We implement industry-standard security measures including encrypted connections (HTTPS), secure password storage, and access controls to protect your information.
6. Your Rights
In accordance with POPIA (Protection of Personal Information Act), you have the right to:
- Access your personal information
- Request correction of inaccurate information
- Request deletion of your information
- Object to processing of your information
To exercise any of these rights, email us at hello@quietcall.co.za. Requests are handled manually; there is no self-service deletion page. Please include the order number or queue number concerned so we can identify the records.
7. Cookies
We use essential cookies for session management and authentication. These cookies are necessary for the service to function and cannot be disabled.
8. Changes to This Policy
We may update this privacy policy from time to time. We will notify registered restaurants of significant changes via email.
